When a Hotel Should Get a Quote for Hurricane Protection for the 2027 Season

Quoting during the storm means starting too late

One of the most common questions in hurricane protection is when a hotel should start requesting quotes for the next season. My answer is usually simple: when there is still no storm forcing the decision.

This may seem too early, because during the quiet months there are other priorities. Maintenance has pending projects. Procurement is closing contracts. Ownership is reviewing investments. The General Manager is focused on occupancy, service, and results.

Yet that is precisely the moment when a quote can be done properly.

A serious evaluation needs time to walk the property, understand its openings, review anchoring conditions, identify critical areas, define systems, and prepare a scope that truly fits the building. After that come budget questions, approvals, fabrication, installation, and training.

Once a storm shows up in the forecast, many of those steps are no longer realistic.

The market changes. Suppliers all get calls at the same time. Schedules fill up. The hotel has other operational obligations, and the quality of the decision can suffer simply because there is less time to ask questions.

The quote should start with an evaluation, not a price

It is possible to give general prices per square meter, but a hotel needs more information before turning that number into a real budget.

Every property has different openings. Spans vary, heights vary, substrates vary, and access varies. A service door may require a different solution from a large restaurant opening. An oceanfront facade may have different exposure from an interior area. A system that works well on one opening may not be the best solution for another.

That is why the quote should start with an inventory of the property.

The evaluation should identify which openings exist, which are already protected, which remain exposed, and what function each one serves. It should also establish what lies behind the opening. A small entrance protecting an electrical room may deserve priority even if it represents only a few square meters.

This information makes it possible to prepare a budget that makes operational sense. Without it, the quote risks becoming a matter of multiplying square meters by an average price that does not reflect the hotel’s real risk.

The 2027 budget needs time to move through the organization

At many properties, the person who identifies the need is not the same person who approves the spending.

Maintenance may find a vulnerability and request a solution. Procurement needs to compare suppliers. The General Manager must understand the operational impact. Ownership or corporate may need to authorize the CAPEX. Depending on the hotel group, this process can take weeks or months.

That is why it is important for the quote to arrive before the budget cycle closes.

A property that waits until the start of the season may find that, technically, it still has time to install a system, but from a budget standpoint it no longer has an approved line item. The decision then becomes an extraordinary purchase, which may require additional approvals precisely when operations are under the greatest pressure.

Planning in 2026 for the 2027 budget avoids much of that problem. It allows protection to go through the same process as other investments and lets management decide calmly whether to carry out the full project, do it in phases, or start with the areas of greatest consequence.

Hurricane protection works best when it is part of the normal management calendar, not when it shows up as an off-budget emergency.

Fabrication and installation also need a schedule

After a quote is approved, there is still work to do before the hotel is protected.

Systems must be fabricated or prepared for the property’s actual dimensions. Anchors need to be installed in the right surfaces. Areas must be coordinated with hotel operations to avoid disrupting guests. At large properties, it may be necessary to work building by building, floor by floor, or zone by zone.

All of this is simpler when there is time.

A busy hotel cannot close all its areas at once for installation. Some openings are subject to specific schedules. Certain zones may require coordination with food and beverage, events, security, or maintenance. Installation may need to be integrated with renovations or work already scheduled.

In addition, if a condition different from what was expected turns up during the work—for example, a different substrate, a previous modification, or an access difficulty—there is time to resolve it properly.

When the schedule is compressed by an approaching storm, those same situations can lead to temporary fixes or exclusions that lower the quality of the project.

Quoting early is not just a commercial advantage. It is a way to protect the quality of the installation.

Training should happen before the season

The quote should also consider what will happen after the system is installed.

Staff need to know where the components are stored, how to identify them, what tools they need, what deployment sequence to follow, and how much time it takes to secure the property.

A hotel that receives the system a few days before a serious threat may not have time to practice.

This is especially important because staff change. A property may have received training years ago and now have a different team. Renovations can also alter openings and access routes. Components may have been moved around in storage.

That is why 2027 preparation should include a review before the season, even at hotels that already have protection.

For properties installing for the first time, the team should ideally have enough time to run at least one deployment drill without pressure. That drill can reveal small problems that are easy to fix in calm weather and very hard to fix when the storm is only hours away.

The right quote does not end with installation. It should bring the hotel to a point where the system can actually be used.

When to start depends on the size of the project, but earlier is always better

There is no single date that applies to every hotel, because projects differ in size and in their approval processes.

A small property with few openings can complete evaluation, approval, and installation relatively quickly. A large resort with multiple buildings may need several site visits, surveys, corporate review, and phased execution. A hotel group looking to protect several properties needs even more coordination.

What can be said with certainty is that waiting until the most active part of the season begins reduces options.

For the 2027 budget, the period before the budget closes is ideal for gathering information. The property can request an evaluation, receive ranges, set priorities, and reserve a line item even if the final engineering is completed later.

This also allows procurement to compare equivalent proposals. When there is time, it can request certifications, review materials, ask about anchoring, and clarify exclusions. When there is urgency, the comparison tends to come down to availability and price.

A good purchase takes time because hurricane protection is not a generic product. It is a system that has to fit the building.

What information helps prepare a useful quote

A hotel can speed up the process considerably by gathering certain information before requesting the quote. Drawings, lists of openings, photographs, information on existing systems, and input from the maintenance team all help in understanding the property.

It also helps to identify budget priorities. Is the property looking for complete protection? Does it want to finish areas that are still pending? Does it need to start with one phase? Is there an approximate maximum budget that has to be allocated wisely?

Knowing these answers does not limit the evaluation. It makes it more useful.

The right time to get a quote is not when the forecast forces you to act. It is when there is still enough time to understand the building, compare alternatives, approve the spending, install correctly, and train the team. A storm should activate a system that already exists. It should not start the purchasing process.
